The Assessment Notice Extract allows
for the creation of an extract file for mass notice printing, or generation
of a batch report for corrected assessments to print in-house. The output can include specific parcels, or
all parcels with Assessment values. AA91(RPTDATA)
records can be created if the extracted information is to be available
on-line. |
If the current year estimated taxes
are to be calculated, the RATE tables must be rolled forward to the new year
using TX405. If the Minimum Tax
calculation should be included in the estimated taxes, then the BILL tables
must also be rolled forward to the new year using TX405. |
NOTE: The specific fields with
permissible entries to be filled in or left blank are listed below. Ignore
fields that are not in the list next to the screens.

1. Job: Report name should always appear
here. For example, AA501HI. 2. Server Name: Keep the server name that
first appears. 3. Printer_Name: Select
a valid printer or keep the displayed printer if one is present. 4. Jurisdiction: Enter your jurisdiction. 5. Tax Year: Enter the current Tax Year. 6. Spool File Name: Enter AA501HI.LIS to create the file in text format. 7. Beginning Date: Enter the mailing date. If this is null, the mailing date
will be the current date. 8. Ending Date: ENDING DATE is used to specify the valuation date for the
current year. One year before this date is printed in the as-of date in the
previous years values section. 9. ID1:
Enter the
minimum Parcel ID to include in the report or type zero to include all
parcels. Enter ‘IDLIST’ to run the report on a specific list of parcels. 10. ID2: If ID1 = minimum Parcel ID, enter the maximum Parcel ID
associated with the parcels to include in the report. If ID1 = 0, enter ZZ for all parcels. If ID1 = ‘IDLIST’,
enter the SETNAME of the IDLIST. 11. ALT1: Enter the OWNTYPE4 codes in quotes separated by commas to
get the valid owner name and address information. If this is left NULL the
values are ‘NULL’,’4A’,’4N’. 12. ALT2: Enter RPTTYPE
and RECSTAT for RPTDATA (AA91) separated by comma. For example: NOTICE,ORIG or NOTICE,AMND to create AA91 records. To avoid
creating AA91 records, enter NOAA91 or SKIPAA91 . If
this is left NULL the default value is NOTICE,ORIG.
If this is a re-run of AA501HI and you wish to replace the AA91 records,
enter "/REPLACE" at the end of ALT2 (without the quotes), and all
the old AA91 records with the same RPTTYPE, RECSTAT, TAXYR, and MAILDATE will
be removed before the new ones are inserted. 13.
FCU: Formatting
code. Determines whether a print extract file is generated or a print file is
generated. An entry of NONE will produce a flat extract file so that the file
can be sent to an external vendor printing the notices. Any other entry will
create Corrected Notices to be printed in-house. DFLT for standard file, PDF
for Adobe Acrobat PDF. (If using PDF, you must also change the Spool File
Name to have a .PDF extension.) 14. WHERE_STMT: Enter the filename and path of the logo to print in the
header of the report if print output is to be generated. This is ignored for
extract files. 15. WHO: Enter the ROLLTYPE codes in quotes, separated by commas, that are to be included. If Who is null, then only ‘RP’ will be included. 16. ORDER BY : Enter the Report Det from TR01 to be used to print the Header, Title,
and Footer of the report, if print output is to be generated. This is ignored
for extract files. 17. PARAM1 Estimate Tax?/”SKIP”: Enter "SKIP" to avoid calculating the estimated
current year taxes. Spaces will be placed in the current year estimated taxes
fields in the flatfile or report, and also on the
RPTDATA table on the AA91 screen. If left null Estimated Taxes will be
computed and included in the flatfile or report. 18. PARAM2 Note on Notice? Enter
“Y” or “N” or a list of exemption types. · If
“N” or null, no extra notes will be included. · If
“Y” is used, the notes from RT11
(RTDIST) will be included for all parcels with Override Valclass
= ‘9’ · If
a list of exemption types is entered in quotes and separated by commas, the
“EXDETNOTE” from TR01 (RPTDET) will be included on all parcels with an
exemption type listed. Exemption type
is defined as the first two characters of the exemption code on EX12. For example, 'EE','EF','EJ','EK','LT' Updating
the notes is explained below in SETUP TO INCLUDE THE SPECIAL NOTES. 19. PARAM3 Skip RESTRICT3 codes: Enter
the RESTRICT3 codes in quotes, separated by commas, that
are to be skipped. 20. PARAM4 SKIP/YES/NAME: Enter
“SKIP” or “YES” to exclude exemption descriptions from the extract file. This
can be used to suppress the exemption descriptions as personal information
when the file is sent as data information to an external agency. Enter “ 21. PARAM5 PREVIOUS TAX?/”SKIP”: Enter "SKIP" to exclude the prior
year taxes. Spaces will be placed in the prior year taxes fields, for all
seven prior years, in the flatfile or report, and
also on the RPTDATA table on the AA91 screen.
If left null the Estimate Tax parameter will be used. BLOCK1 “SKIP” LAST YEARS VALUES: If you want to skip section 1 on the bottom of the
corrected notice, enter “SKIP” and the previous year’s values will not print.
Enter PRINT or leave null and the previous year’s values will print. In
addition, if “SKIP” is used here, last year’s values will not display on
AA91. BLOCK2 Tax Year to retrieve ownership: If you want to retrieve the ownership and addressee
information from a different year than the values, enter the ownership
year. For example, if ownership and address changes made for next year
have started, and you want to use those changes, enter the year in YYYY
format. If ownerships should be retrieved from the same year as the
values, leave this blank. |

[Submit Job]. The system will notify you when the report is finished
In addition
to the EXTRACT data file and CORRECTED NOTICE print file, the AA501HI also
generates a total report. This report
can be located on SY41 and viewed and/or printed from there. The file name is determined by the requested
SPOOL FILE NAME on SY41 and will have “TOTALS.LIS” concatenated to the
end. Refer to REPORT SAMPLE.
The
exemption description is included in the Assessment Notice Extract or on the
Corrected Notice if AA501HI SY41 PARAM4 is not “SKIP”. This exemption
description is retrieved from the EX21 exemption definition. Only the first two
characters of each exemption code on EX12, not the entire exemption code, are
used to retrieve the EX21. An example EX21 is provided below.

Two choices for exemption
description are available.
If an alternate description is
entered, AA501HI will use the alternate description. If no alternate
description is entered, the standard description will be used. In the example
above all EX12 exemptions starting with “EE” will have a description of “HOME
EXEMPTION” on AA501HI because it has an alternate description. If that
alternate description is removed from EX21 for EXEMPT CODE = “EE”, AA501HI will
use “HOME EXEMPTION-REGULAR FEE”.

The
AA501HI program can compute the previous year taxes and store them on the
previous year AA13 (ASMT). This is
necessary because the tax rates were not finalized when the previous year
values were finalized. Also, to print
the prior year taxes for each VALCLASS, they must be stored on ASMT (AA13) for
each VALCLASS, because the taxes for each VALCLASS are not stored in the
collections system. When the AA501HI is
run for the first time each year, the previous year taxes will be computed and
stored on the AA13, unless PARAM5 is “SKIP”.
When the taxes for the previous year are calculated and stored on AA13,
the SY11 is updated so that the program does not need to compute them when it
is run again.

SY11
(AEDIT) setups for OWNDAT.OWNTYPE determine whether to include or suppress
owner types or lessee types.
If the
Short Description is “O” or “OWNER”, all owners with that owntype
will be included as an Owner.
If the
Short Description is “L” or “LESSEE”, all owners with that owntype
will be included as an Lessee.
In the
example above only OWNTYPE=1A will be listed as an OWNER and only OWNTYPE=1A3
will be listed as a LESSEE. If no other OWNTYPEs are entered with an “O” or “L”, no other owners
will be included.
AA501HI
uses the setups in SY11(AEDIT) for no tax and minimum tax for the current and
the previous year. If the calculated
taxes are below the minimum specified in the tax set-ups, then the message from
SY11 will print. This can be an amount,
such as “$100.00”, or a message, such as “Minimum Tax”

If
“Y” is used, the notes from RT11
(RTDIST) will be included for all parcels with Override Valclass
= ‘9’.




If
a list of exemption types is entered in quotes and separated by commas, the
“EXDETNOTE” from TR01 (RPTDET) will be included on all parcels with an
exemption type listed. Exemption type is
defined as the first two characters of the exemption code on EX12. For example,
'EE','EF','EJ','EK','LT'.
On
TR01, query for Report name = “AA501HI”, the current tax year, ReportDet = “FILE”, DetType=”EXDETNOTE”. If necessary you may create a record.




To
print the Header, Title, and Footer information on the printed output, entries
are reqired on TR01 with Report Name = AA501HI. The ORDERBY on SY32 determines which set of
AA501HI headers, titles, and footers to print.
The Report Det on TR01 must match
the ORDER
BY
on SY32.

The six lines of description for Det Type HEADER print centered
in the heading of the printed output.
The first three lines of Det Type TITLE print below the
notice date and above the notice detail text information. Description 4, 5, and
6 of Det Type TITLE are ignored.

The six lines of footer information can be normal or bold and print at the
bottom of the printed output.
The six lines of description for Det Type FOOTER can be replaced with bold information. (below)

Any of the six lines of description for Det Type FOOTERBOLD print at the bottom of the printed output, replacing
the corresponding line of the Det Type FOOTER
(above).

ID 2 on SY32 is not “SKIPAA91” or “NOAA91”, then the assessment notice
information can be viewed on AA91.
