DR590FL – Generate Real Property 12D8 File

 

This batch procedure generates a flat ASCII file of Real Property Data in 12D8 format as required by the Florida Department of Revenue. The name of the ASCII file will be identified by the user and entered into param one.

NOTE:  The specific fields with permissible entries to be filled in or left blank are listed below. Ignore fields that are not in the list next to the screens.

 1.    Job: Report name should always appear here. For example, DR590FL.

 2.    Server Name: Keep the server name that first appears.

 3.    Printer_Name: Select a valid printer or keep the displayed printer if one is present.

 4.    Jurisdiction: Enter your jurisdiction.

 5.    Tax Year: Enter the current Tax Year.

 6.    Spool File Name: Enter DR590FL.LIS to create the file in text format.

 9.    ID1: Enter the minimum Parcel ID to include in the report or zero to include all parcels. Enter IDLIST to run the report on a specific list of parcels.

 10. ID2: If ID1 = minimum Parcel ID, enter the maximum Parcel ID associated with the parcels to include in the report. If ID1 = zero, enter ZZ for all parcels. If ID1 = IDLIST, enter the SETNAME of the IDLIST.

 13. FCU: Formatting code. Keep the default printer setting that is present when the screen appears. If blank, enter HPLP132.

 17. PARAM1 TEXT FILE NAME:

          Enter the name of the text file that will be created by the process.

Press [Submit Job]. The system will notify you when the report is finished.

 

This process will generate the following output files:        

           

            Tapefile         (Text file name in Param1)                      Database – parcel level 12D8 data.

 

Tapefile Totals and Rejected Parcels (Statistics_Rejects_12d8.TXT) – contains summary statistics of database and parcels rejected due to value size errors (values larger than DOR output specifications).

 

Parcels will be put into the reject file for the following reasons:

 

1.      Total Just Value is greater than $999,999,999 (9 bytes)

2.      Total Assessed Value is greater than $999,999,999 (9 bytes)

3.      Total Taxable Value is greater than $999,999,999 (9 bytes)

4.      Total New Construction Value is greater than $999,999,999 (9 bytes)

5.      Land Value is greater $999,999,999 (9 bytes)

6.      Number of Land Units is greater than 999,999 (6 bytes)

7.      Number of Cards (Bldgs) is greater than 99 (2 bytes)

8.      First Sales Price is greater than $999,999,999 (9 bytes)

9.      Second Sales Price is greater than $999,999,999 (9 bytes)

10. Other Exemption Value is greater than $9,999,999 (7 bytes)

11. Homestead Exemption Value is greater than $99,999 (5 bytes)

12. Widow(er) Exemption Value is greater than $99,999 (5 bytes)

13. Disability Exemption Value is greater than $9,999,999 (7 bytes)

14. Energy Exemption Value is greater than $9,999,999 (7 bytes)

 

 

Note:  Sales that have dates that fall in the current tax year will never be included in the output.
